PAYMENTS Mill Pond Realty accepts payment by all major credit cards, cashier/certified check, money order, or personal check (only if received more than 28 days prior to arrival). At the time of booking, a holding deposit of 50% the base rental rate will be charged to your card. Final payment, including taxes and fees, is due 30 days prior to arrival. Reservations made less than 35 days prior to arrival require payment in full at the time of booking. If you wish to pay via cash, check, or certified funds, book over the phone with a reservation specialist. Bounced checks will incur a $35 fee. All credit card payments are subject to a 2% processor fee.
TAXES AND FEES Reservations are subject to 6% state tax, 5% local lodging tax, a 5% administration fee, and a cleaning fee.
CREDIT CARD Credit card information is required for payment of at least 10% of the base rental rate and as a guarantee for negligent damages to the property. Rent and/or any outstanding charges caused by additional charges to the cable bill, fines associated with breaking this agreement, or damage beyond normal wear and tear during the term of the Rental Agreement will be charged to the credit card on file.
CANCELLATIONS & TRANSFERS The cancellation policy applies immediately at the time of booking. Cancellations more than 30 days prior to arrival will be subject to a cancellation fee of 10% the total rental rate. Cancellations 30 days or less prior to arrival will be subject to full forfeiture of the total rental rate and all outstanding monies will be charged to the credit card on file. Transfers between properties will invoke the cancellation policy. Transfers between weeks at the same property are allowed up to 30 days prior to arrival of existing reservation. All cancellations and transfers must be in writing.
ACCIDENTAL DAMAGE WAIVER FEE An accidental damage waiver fee of $10 per day covers up to $500 for any unintentional damages reported to Mill Pond Realty prior to check-out. This accidental damage waiver is not insurance. It is a non-refundable, one-time charge per day that covers accidental damage reported by the guest prior to check-out for guests who have complied with this Agreement. This does not cover incidents due to negligence, fire, water, malicious destruction, intentional acts or omissions, abuse or neglect, theft that results from the guest’s failure to secure the property, damages by a pet, smoking, guest’s personal property, damages not reported immediately upon incident, additional cleaning, or other damage we deem to be abnormal. A select few of our properties require a larger security deposit. Security deposits will be refunded 30-45 days after departure.
RESPONSIBILITY The person whose name the reservation is in is required to be at least 25 years old (30 for Hidden Gem), stay at the property for the duration of the reservation, and accept full responsibility for all payments, deposits, maintaining the condition of the property and for the actions of all persons on the premises during the stay.
OCCUPANCY The MAXIMUM number of people (3 years and older) who can be at the property and use the amenities is specified on the property listing. Daytime gatherings, dinner parties, etc. are not allowed. Over-occupancy is a violation of your rental agreement and immediate eviction without refund will occur or a $200 per person fine will be applied to the credit card on file.
PEACEFUL LIVING Properties are in residential neighborhoods and respect for the neighbors is expected. Local noise ordinances should be followed and parties (including bachelor/ette, weddings, daytime gatherings, etc.) are not allowed under any circumstances. Noise disruption, disrespectful behavior, and/or parties will result in eviction without refund and a fine of $500 plus damages.
PARKING Many of our homes have a strict maximum number of allowable vehicles and failure to adhere to this can result in fines or towing. A few properties require a parking pass to be displayed while at the property; parking passes are provided at check-in. No parking on lawns or neighboring properties. No motorhomes, trailers, or boats are allowed at our properties without prior written permission.
Absolutely NO SMOKING is allowed in any of our properties including on porches, patios, and decks connected to the property. If evidence of smoking is found in the property, immediate eviction without refund will occur and the credit card on file will be charged for interior painting and professional cleaning.
PETS Dog friendly properties require a $100 per pet fee for the length of your stay. Cats and other pets are not allowed without prior written permission. The pet fee is for bringing your pet along and does not cover damages, additional cleaning, or cleanup of waste inside or outside the property. Evidence of a pet at a non pet friendly property will result in immediate eviction without refund and the credit card on file will be charged for professional cleaning including rugs, carpets, and furniture.
CHECK-IN is at the Mill Pond Realty office at 747 Water Street, Saugatuck. In season check-in is guaranteed by 6pm, but keys may be ready for pick up as early at 4pm if your property is ready. Off season check-in is guaranteed by 5pm, but keys may be ready for pick up as early as 3pm. We are on Eastern Standard Time. No one from your group should go to the property before the keys have been picked up. Early arrivals will be charged a $50 early check-in fee. If you wish to receive a call/text when your property is ready, call our office the morning of your arrival.
CHECK-OUT is no later than 11am from Memorial Day to Labor Day and if there is a turnover. If it is off season and there is not a turnover, check-out is no later than 12pm noon. Refer to the departure duties listed in the Departure Procedures section below. Select properties require a departure walkthrough with a Mill Pond team member. If you are renting Hidden Gem, True Companion, or Saugatuck Lodge, call our office 30 minutes prior to your departure and a team member will meet you at the property. Express check-out is available at all other properties.
DEPARTURE PROCEDURES Despite paying a cleaning fee, guests are, at minimum, REQUIRED to complete the following at check-out: return furniture and electronics to their original locations and operating conditions, wash all dishes or load and start the dishwasher, remove all trash and perishable food from the home and place in sealed bags in the outside garbage bin, wash and put away any used beach/pool towels, leave carpets and floors free of excess debris, and generally leave the property as it was found. Failure to complete the above will result in the credit card on file being charged for excessive housekeeping.
HOUSEKEEPING Prior to arrival, each property will be cleaned and stocked with a starter pack of hand soap, dish soap, toilet paper, paper towel, and trash bags. Paper, cleaning, and personal items are not provided. Beds will be made (except trundles, sofa sleepers, and futons) and bathrooms stocked with bath towels. No refunds will be given due to displeasure with housekeeping. If you are not satisfied, call our office within 24 hours and we will send a housekeeper.
RIGHT OF ENTRY / PROPERTIES FOR SALE Mill Pond Realty employees and the property owner reserve the right to enter the rental property anytime to investigate disturbances, check occupancy, provide entrance to service technicians, or show the property for sale as deemed appropriate. We will do our best to give at least 24-hour notice.
REPAIRS, BAD WEATHER, & REFUNDS Mill Pond Realty will make every effort to make this your most enjoyable vacation ever. Refunds cannot be made due to inclement weather, sickness, death, power outages, acts of nature/government agencies, construction noise, or mechanical failure or malfunction of household equipment, appliances, or nonessential items (including cable/internet, air conditioning, etc.). Report issues immediately. We will make every effort to get repairs done as quickly as possible to minimize the inconvenience, but some breakdowns cannot be prevented or repaired during your stay. No refunds can be given for any item not brought to our attention prior to your departure; check-out is not the time to inform us of dissatisfaction. If you report an issue that is later found to be non-existent or caused by lack of common sense, you will be financially responsible for the unnecessary service call.
POWER OUTAGES If there is a power outage, contact Mill Pond Realty so we can call Consumers Energy on your behalf. If your home is on a well and septic system, you will be without water.
AVAILABILITY If, for any reason, the rental property becomes unavailable, Mill Pond Realty will make their best effort to find alternative accommodations or refund all monies paid, your choice. Alternative accommodations are not guaranteed, and it is your responsibility to cover any additional expenses associated.
KEYS/LOCKOUT You will receive 1 set of keys at check-in. $50 will be charged to the credit card on file for a lost key or to be let in after hours. A $50 cash security deposit will apply if you would like a 2nd key.
LOCKED CLOSETS are not included in the rental of the property.
CABLE TELEVISION Most properties only receive local channels (basic cable). If the property is equipped with Apple TV, Netflix, etc, additional purchases should be billed directly to your credit card. Charges made to the property’s account will incur a $25 administration fee in addition to the charge.
FURNISHINGS All properties are privately owned and decorated. Please be considerate of the owner’s belongings. Inside furniture should not be taken outside. Plates, cups, silverware, bath towels, linens, etc, should not be taken off the premises.
LOST & FOUND Mill Pond Realty is not responsible for items left behind. Items can be mailed back to you for the price of postage plus a $25 retrieval fee. After 60 days, items will be donated to charity.
ASSOCIATIONS Many properties are part of an association with its own unique rules required to be signed.
DISCLAIMER We make every effort to ensure our advertising and property information is correct. Mill Pond Realty does not own the properties we offer for rent and we rely on the property owners to update us on any changes to the property. Mill Pond Realty is not responsible for printing errors or changes made by property owners in pricing, availability, furnishings, equipment or bedding arrangements. Mill Pond Realty and the property owner shall be held harmless, regardless of fault, and indemnified from any loss, claim, damage, expense or injury suffered by the renter, members of their party or any other guests which the renter or their party have allowed access to the property, resulting from use or occupancy of all rental properties regardless if said loss results, directly or indirectly, from acts of God, danger incident to any body of water, fire, breakdown of machinery or equipment, acts of government or other authorities, or delays or cancellations of or changes to itineraries or schedules. Mill Pond Realty is acting solely as the leasing agent and has no other responsibility or liability. Furthermore, the renter will release and hold harmless its owners and representatives for any loss or damage to personal property or for any injury and/or death.
